I updated information in the ERP, but it’s not showing up on my xTupleCommerce website. What could be happening?

Some information may not show up on the xTupleCommerce website immediately. Instead, it stays in the cache. Think of the cache as a net that holds on to some of the changes.

To manually flush the cache (release the net of changes), log in to your xTupleCommerce website. Then navigate to Admin > Icon > Flush all Cache and select to flush all the cache.

Note-If after flushing the cache the formatting of the site looks like it has changed, refresh the page and it should go back to normal.

Can I manage my item images in the xTupleCommerce website?

Your xTupleCommerce site has the capability of hosting images, PDFs, documents and other media. Once your site is live you can associate these files with Items and Item Groups in the ERP. For instance, you can associate product images with Items in the ERP. Or you can associate Marketing PDFs with Items in the ERP. These images and PDFs will be displayed with the products on the xTupleCommerce site.

If your site is still in the development or testing phases (aka, you are still going to a stage.domain.xtuple.net URL to view your site), we encourage you to use a service such as Cloudinary to host your images and determine URLs.

However, if your xTupleCommerce website has gone live, you can begin using the site to host files and create the URLs needed for the document in the ERP. 

Uploading the files to your xTupleCommerce site :

  1. Go to your xTupleCommerce website and login as a manager or editor. 
  2. Navigate Admin > Content > Files.
  3. Click ADD FILE
  4. Select and upload the image. Typically files must be less than 8MB. 
  5. Click NEXT
  6. Leave the radio button selected for public local files and click NEXT.
  7. Update and fill in the fields for name and file name. The name will show up in the URL path of the image. 
  8. Click SAVE. 
  9. Highlight the path of the image-most recently added files are on the top of the list-and copy.

Associate files with Items or Item Groups in the ERP

  1. Login to your ERP.
  2. Open an Item or Item Group
  3. Go to the documents tab
  4. Click Attach
  5. Choose Web Site from the drop down
  6. Give the file a name in the Name field
  7. Paste the URL into the URL Field
  8. The URL should include your website domain followed by the path that you copied.  
    Example: https://www.yourwebsite.com/files/public/content/media/image.jpg
  9. Click Save 
  10. Save and close the Item and Item Group

Check your work

Navigate to the Item or Item Group where the file should appear on the website

The file should appear. If the file does not appear, you may need to flush the cache on the website.

What are the job cost recognition options?

The job cost recognition options establish the default costing behavior when creating work orders for average cost or job items. These defaults can be overridden at the item site level or at the level of specific work orders you create. If the to date option is specified, all of the WIP costs accumulated to date will be charged to the cost of sales when the item is shipped. If the proportional option is specified, a value up to the proportional value of the total quantity shipped will be charged to the cost of sales when the item is shipped. For an example of the proportional method, assume 3 items are to be shipped on a job work order and all the material has been issued—and if only 1 of the 3 is shipped—then 1/3 of the value charged to WIP at that point will be charged to the cost of sales.

How do I drill down into inventory history?

The advanced search panel gives you the most control when trying to locate specific records or groups of records in inventory history. Click on the advanced search button in the main menu to open the advanced search panel. Using advanced search, you can specify multiple different parameters—making it possible to drill down and reach the specific records you are looking for.

What are planner codes?

Planner codes provide a mechanism for categorizing items for planning purposes. For example, let's say you want to develop separate plans for raw materials versus finished goods. To do so, you would first create separate planner codes: one for materials and one for finished goods. You would then link the materials planner code to the item sites for your materials—and the finished goods planner code to the item sites for your finished goods. From that point on, you can run the planning systems and planning reports by individual planner codes to see the detail separately for each.

What is the default location?

The default location is the location within an item site where you want your inventory to be put or taken from by default. Having default locations can simplify the process of handling inventory when multiple location control is being used. For example, users can transfer inventory into/out of an item site using a default location button—without having to pick a location from a list of available locations. Default locations are not required but they do help reduce complexity.

Do I need more than one cost category?

You can certainly run your business using only one cost category. That's all you need to set up item sites and track inventory movements in the general ledger. If you want more detailed inventory accounting, though, you should consider implementing multiple cost categories. For example, you might have a cost category for finished goods and a different one for raw materials. In this way you can track particular item types or groups by different accounts—thus leading to more detailed financial reporting.

How do we boot a user from the database?

In order to forcefully disconnect a user from the database, you have to find the Process ID (pid) for the backend connection of that user. Each user connection to the database spawns a backend process for their connection. Once you know the pid for the process, you can kill the process. On unix the command would be "kill [pid]" while other OSes may have different ways to kill a process. In order to find the pid you can look at the pg_stat_activity table and the column procid should contain the number you need.

Can class codes be used in reporting?

Yes, xTuple ERP gives you the ability to use class codes as a filter in a variety of different views and lists. You can also always create custom reports to capture the data you need by class code.

How do I update the description of my item for xTupleCommerce?

After you’ve located the item master in the xTuple ERP database, navigate to the marketing tab. Make changes to the description content the description field, then save. After you've closed the item record in the ERP, refresh the item's page on the xTupleCommerce site. If the change does not appear automatically, you may need to flush the cache.

How are characteristics used?

Characteristics provide an easy way to add layers of user-defined information which you can later access for reporting purposes. For example, let's say you want to keep track of birthdays for your most important clients. To do this, create a contact characteristic for birthdays. Then, in the value field for each, insert the contact's date of birth. After this information has been entered, you can run a contact report to see all your contacts' birthdays. Characteristics can be used in many other ways, too—to configure items at the point of sale, to characterize details of sales opportunities, and more.

How are site types used?

Site types are used to categorize sites. For example, you might have distribution sites or shipping sites or storage sites. Having the ability to categorize sites is primarily a feature designed for multi-site environments.

What's the difference between an item and an item site?

An item is the definition for a product, describing things such as what item type the item belongs to, its unit of measure, whether it's sold, etc. Item sites, on the other hand, define an item's physical location within a site. You need item sites if you want to track inventory. The movements of inventory, planning for inventory, and inventory accounting are all tied to the item site.

Is there a report which shows shipment tracking numbers?

Yes, there are several reports which provide historical tracking number information. Look under Inventory > Shipping > Reports > Shipments. All of the reports in this section include a tracking number column. If you entered a tracking number for an order when you shipped it, then that information will be shown in all of these reports.

Why don't my non-inventory receipts show up on the Uninvoiced Receipts|Returns report?

Because non-Inventory Items, by defintion, do not have Item Sites, you cannot view receiving information for them on an individual Site basis. That's why you have to select the "All Sites" option on this report to see your non-Inventory activity.

How is the start date of a work order determined?

The start date of a work order is determined based on the due date minus the lead time. The lead time for an item is found on the item site record. For example, if the due date is February 15 and the item site lead time is five days, the start date for the work order would be February 10.

My xTupleCommerce account is temporarily blocked due to 5 failed attempts to login. How can I get into my xTupleCommerce website?

Unfortunately, you will have to wait until the system clears your IP Address for access. We do not have access to manually do this. The system may take an hour, 4 hours, or even 8 hours to clear your IP Address as there is no standard amount of time for it to cycle through. This is one of the main reasons we encourage our users to change their password to something easy for them to remember.

Why do item sites require a planner code?

Planner codes are required on item sites for reporting purposes—and also to support the advanced planning and forecasting capabilities found in commercial editions of xTuple. For example, with planner codes you can create different reports and schedules for raw materials and finished goods.

How do I retrieve API keys from UPS?

If you would like to include UPS in the list of shipping options for your xTupleCommerce customers, you'll need to acquire API keys from UPS. Once you have the information and have added the keys to the ERP, the keys will need to be added to the xTupleCommerce website.

Here are the instructions on how to retrieve the API keys from UPS:

  1. Go to - UPS login 
  2. Log in with your account information
  3. Click SUPPORT in the main menu
  4. In the browse by topic section, click UPS Developer Kit 
  5. Inside the access and administration, click Manage Access Keys 
  6. Click Request New Access Key 
  7. Follow the instructions
  8. Capture the keys
  9. Deliver the keys to xTuple - follow the instructions for Sharing API Keys from the bottom of this article

Note: Most systems delete old keys when new ones are created. Your keys could be used across multiple systems so it’s a very good idea to create these keys once and save the information in a safe place for future use.

What kinds of planning systems does xTuple offer?

xTuple offers four primary planning systems: material requirements planning (MRP); distribution resource planning (DRP); master production scheduling (MPS); and lean/constraint management. You must be running a commercial edition of xTuple to have access to these planning systems. What is a site?

Sites are locations where inventory is physically produced or stored. Item sites, site locations, and work centers all belong to sites. Examples of sites would include (but not be limited to) production facilities, shipping warehouses, storage warehouses, and quality control centers.

Why does the ship zone change on my sales order?

If you are using ship-to addresses, that would explain why the ship zone changed on your sales order. Each ship-to address has its own ship zone. When you change ship-to addresses, the ship zone on the sales order may also change. By default, the ship zone at the ship-to address level will be used.
